How to edit and customize DOTX templates in Microsoft Word

Last update: 29/10/2026

  • The correct process for modifying a .dotx file involves opening it directly from the Word file menu to avoid creating new documents.
  • The Developer tab allows you to integrate interactive elements such as date pickers, drop-down lists, and rich text controls.
  • It is possible to protect specific sections of the template or set passwords to restrict editing to unauthorized users.
Edit and customize DOTX templates in Microsoft Word

For Edit a DOTX template in WordYou must open the original file from within the program itself. If you double-click the template in File Explorer, Word will usually create a new document based on it, ready to be filled in without modifying the original.

The difference matters: modifying a document generated from a template is not the same as updating the template. In this guide, you'll see how to open the DOTX file, save your changes, and verify that they are applied when creating new documents.

Open the original DOTX file from Word

Open original DOTX file from Word

Before you begin, save a copy of the template if you need to keep a previous version. Then, in Word for Windows desktop:

  1. Open File > Open > Browse.
  2. Find the folder where the file is saved.
  3. Select the template with the extension .dotx and press Open.
  4. Modify the content, styles, or design.
  5. Save and close the file.

Make sure you're working on the correct template. If Word has created a new file called "Document1", reopen the DOTX file from File > Open.

Not all templates are in Documents. If it's from a download, a shared folder, or a company location, open the file that's actually being used as a template.

Check where Word saves your personal templates

The "Custom Office Templates" folder is a common location, but it may vary depending on the user's installation and settings.

In Word for Windows, go to File > Options > Save and check the field Default location of personal templatesThis path helps identify where the templates you want to use from your personal gallery should be located.

If a DOTX file doesn't appear when creating a new file, check its location and format before assuming it's corrupted. You can open a template from another folder, even if it's not listed in the gallery.

On a Mac, the paths and menus are different. You can view template locations in Word preferences and use File > Open to locate the template.

Save a document as a DOTX template

If you already have a document you want to reuse, first prepare its common elements: titles, styles, margins, headings, tables, and explanatory text. Remove any specific data that shouldn't appear in future documents.

On Windows, enter File > Save As and select Word template (*.dotx) as a file type. On Mac you can use File > Save as template.

Choose the format according to the content:

  • DOTX: Word template without macros.
  • DOTM: template that can store macros.
  • DOCX: normal document, for example, the report generated from the model.

Do not manually change the extension to convert the file. Selecting the format from Word allows you to save the appropriate document type.

Add fillable fields with content controls

Content controls help you identify where to enter names, dates, images, or other data. To insert them in Word for Windows, activate the tab Programmer or Developer From File > Options > Customize Ribbon.

Next, place the cursor where you want to add the field and choose the appropriate control:

  • Rich text: It allows you to enter content with different formatting options.
  • Plain text: It limits those possibilities, but does not automatically verify that the information is valid.
  • Drop-down list: allows you to select from prepared options.
  • Combined panel: It also allows you to write your own option.
  • Date, box or image: organize the entry of those elements.

Select each control and review its properties. Test the lists and fields before distributing the template: a visible reserved space does not guarantee that its configuration is correct.

Customize the instructions and reusable blocks

To change the instructions for a controller, activate Design modeModify its placeholder text and then deactivate that mode. Use prompts that explain what data should be entered.

Building blocks allow you to reuse prepared fragments, such as clauses or sections of a report. If you include them, check where they are stored and test their availability on the computer that will use the template.

Don't assume that all the content in your personal galleries will be available to someone else when you send them the DOTX file. The final test should be performed with a system similar to the recipient's.

Protect the structure without blocking necessary fields

In the properties of controls, you can prevent their deletion or the editing of their content. These are different restrictions: a field intended to be filled must still allow the necessary data to be entered.

If you group controls or text, check how they behave when using the template. Grouping should not be confused with configuring all the constraints for each element.

To apply broader limitations in Word for Windows, open Review > Restrict editingselect the conditions and press Yes, apply protectionIf you add a password, keep it in a safe place.

These options help control editing within Word. If you need a password to open the file, that's a different function. File > Info > Protect Document > Encrypt with PasswordChoose the protection according to what you want to achieve.

What can you do with a DOTX file in Word for the Web

Microsoft includes DOTX among the formats that Word for the Web can open, but that doesn't mean it offers the same features as the desktop application. Creating and maintaining templates, controls, and other features may be limited.

To modify the original model with its advanced features, use Open in the desktop application when it is available or download the file and open it from Word.

If you only work in the browser, one alternative is to keep a DOCX file as a base document and create a copy before filling it out. This is a different reuse workflow than using a DOTX template.

Do not rename the file to try to unlock browser features. If you need a different format, save a copy using an application that allows you to convert it.

Test the template after saving it

Close the DOTX file and create a new document based on it. Test the styles, fields, instructions, and constraints with test data.

Double-check that you can fill in the controls without altering the parts that should remain fixed. Save the result as a separate document and confirm that the template is still available for future use.

Don't expect existing documents to be automatically overwritten when you modify the template. Verify the changes in a new document and update any existing files separately as needed.
